Who this evaluation is for

The complete evaluation is designed for scholarship trusts, education foundations, bursary administrators and selection panels that need more than a threshold check. It is especially useful where income varies, relatives share costs, an applicant supports dependants, or a recent event has changed the household’s position.

The outcome is a written finding on demonstrated need. We do not select the scholarship recipient, rank academic merit, conduct a credit check or make a legal determination.

What is included

  • Review of the application and the scholarship’s financial criteria
  • Reconciliation of declared income against payslips, bank records and other supplied evidence
  • Consideration of dependants, housing, school fees, medical obligations and maintenance payments
  • One round of proportionate clarification questions
  • A structured report covering evidence, adjustments, unresolved gaps and the evaluator’s conclusion
  • A short committee call to explain the finding, if required

How the review proceeds

1. Brief and secure handover

The scholarship administrator confirms the purpose, deadline and evidence rules. We provide a document checklist suited to employed, self-employed, grant-supported and irregular-income households.

2. Reconciliation and context

An evaluator compares the declaration with source records. Once-off receipts are separated from recurring income; transfers between household accounts are not counted twice. Material differences become clear questions, not automatic accusations.

3. Clarification

Questions are sent through the commissioning organisation unless another route is agreed. Applicants normally have two working days to answer. A missing document remains visibly marked if it cannot be supplied.

4. Written finding

The report states what was reviewed, what could be verified, how household commitments affected available means, and where judgement was required. It closes with a concise need finding aligned to the scholarship’s own criteria.

Preparation and constraints

Please provide the completed application, consent for the review, current proof of income, three months of relevant bank records and documents supporting material obligations. Sensitive records should be transferred only through the agreed secure route; do not send identity numbers in the enquiry form.

The standard timeline begins when the file is substantially complete. Translation, home visits, forensic fraud investigation and more than one clarification round require a separate scope.

Fee basis

Fees start at R2,850 per application, excluding VAT where applicable. Complexity, urgent deadlines, translation and unusually large document sets can affect the estimate. We confirm the amount before work begins.

A financial need evaluation should make judgement visible—not disguise it behind a score.
