How Catalog Servicehub handles enquiries and records used in scholarship financial need evaluations.

Who is responsible

Catalog Servicehub is the responsible party for contact enquiries and its own business records. For scholarship application records, the commissioning scholarship body will usually determine why information is processed and Catalog Servicehub acts under its instructions. Information we process

Website enquiries may contain a name, email address, phone number and review brief. Commissioned work can involve household income evidence, bank records, employment information, dependants, expenses and relevant special-category information. We ask clients not to send sensitive records through the public form.

Purpose and lawful basis

We process information to answer enquiries, prepare estimates, perform contracted evaluations, protect confidential records, meet tax and legal duties, and establish or defend rights. Depending on the context, processing relies on consent, contract, legitimate interests or legal obligation under the Protection of Personal Information Act, 2013 (POPIA).

Sharing and international transfers

Access is limited to authorised staff and contracted service providers that support secure communications, hosting or professional advice. We do not sell personal information. If a provider processes information outside South Africa, we use contractual and organisational safeguards appropriate to POPIA and assess the destination protection.

Retention and security

Unsuccessful general enquiries are normally deleted after 12 months. Contract and invoice records are retained for periods required by law. Application evidence and working papers are deleted or returned according to the engagement schedule, ordinarily within 90 days after the final report unless a dispute or legal duty requires longer retention. We use access controls, secure transfer arrangements and limited internal permissions.

Your rights

Subject to applicable law, you may ask for access, correction or deletion; object to certain processing; withdraw consent; or complain to South Africa’s Information Regulator. Where the scholarship body controls the application records, we will direct the request to it and assist as required.
